Fractional SCM management — remote ops, systems automation, custom apps

You need supply-chain leadership now — without another full-time seat. Hivoltech delivers fractional SCM and systems automation on inveazy, plus custom data apps that can stand alone. Hire the function before the headcount.

You need supply-chain leadership now. Hivoltech delivers that on inveazy without hiring another full-time seat — branded site, purchasing, inventory, and systems automation on one dedicated install (a live workspace you own and control). Need a custom data application that is not on inveazy? That is on the table too.

Spreadsheets own the stock. Purchasing decisions go to whoever yelled last — no visibility, no strategy, no consistency. That breaks as you grow. This is not another logo redesign or website refresh that ignores your operations. It is one spine (a single source of truth for catalog, orders, and inventory), a public face that looks like you, and someone who runs the chain on it. Start the chain early — on a real platform, not a side spreadsheet.

Hire the function before the headcount

Thesis: Hire the function before you hire the headcount — on inveazy when brand and stock must share one truth. When the job is a standalone data app or backend process, we build that too — with or without the platform.

That is the core offer from Hivoltech with inveazy: one dedicated supply-chain and commerce platform you brand and control, plus fractional management and systems work on top. For fractional SCM with brand and ops on one spine, this offer assumes we run on inveazy. Separately, Hivoltech also builds custom data applications that do not have to sit on inveazy at all — see Lane 4.

Who this is for

Owners and ops leads at small-to-mid companies that move goods — wholesale, shops, equipment, multi-location supply — who:

  • Do not have a dedicated buyer / inventory lead (or lost one)
  • Want a branded company site and an ops system that agree
  • Are stuck between “spreadsheet hero” and “full ERP project”
  • Need someone who speaks both operations and systems
  • Want a foothold partner, not a slide deck
  • Or need a custom data / backend application (reporting, intake, integrations, internal tools) whether or not they adopt inveazy

Not a fit if you only need a brochure website or logo refresh, already have a full SCM team in place with no systems gap, or are mid-ERP implementation and just shopping for a side consultant. If you need purchase orders that match receipts, stock that matches the shelf, and a public face on the same install — or a scoped data app that solves a real process gap — keep reading.

Engagement shapes (simple menu)

Shape Duration Best for
Discovery + provision 1–3 weeks Confirm fit, stand up inveazy Azure, branding, Stripe, first workspace
Fractional retainer Month-to-month or quarterly Ongoing SCM ownership on your install + weekly cadence
Systems project Fixed scope APIs and automation into / out of inveazy and your other systems
Custom data app Fixed scope Standalone data / backend application — may be unrelated to inveazy
Go-live + handoff Fixed + optional retainer Catalog load, playbooks, train your team on the same spine

Pick the shape that matches your need — most companies start with Discovery + Provision, add Fractional Retainer within 30 days, then layer in Systems or Custom Apps as manual handoffs surface. Pricing is scoped per engagement. Platform subscription is on Features & pricing; Hivoltech services (fractional, systems, and custom apps) are separate from the SaaS fee.

How the service is structured

Four lanes. For the brand + fractional SCM offer, Lane 1 is always on — Lanes 2 and 3 stack on that install. Lane 4 is available on its own when you need a custom data application and are not adopting inveazy (or need something beside it). Many companies go live on inveazy, add fractional management the same month, and pull in automation or a custom app when a weekly export is still manual.

Lane What you get Typical fit Typical effort
1. inveazy platform (required for SCM offer) Dedicated Azure site, public branding/landing/blog/shop toggles, Stripe, catalog, PO → receive → on-hand → sell rails You want one dedicated install for brand and ops Provision + branding + keys; see Brand, stock, and sell on day one
2. Fractional SCM management Remote ownership of purchasing rhythm, vendors, inventory hygiene, exceptions, weekly status — on your inveazy data You need the function now; headcount later Ongoing part-time retainer (often 4–8 hrs/week to start)
3. Systems development APIs, backend data apps, integration jobs around inveazy and your accounting / carriers / other systems People know the work; tools still do not talk Fixed project, often 2–6 weeks
4. Custom data application development Scoped data / backend applications, internal tools, reporting apps, process automation — can be unrelated to inveazy You need a purpose-built app and may already have another stack (or no commerce platform yet) Fixed project; scope and stack agreed up front

The four lanes in detail

Lane 1 — inveazy platform (required for brand + SCM)

Lane 1 is the required foundation: a dedicated platform your team owns, branded as your company, where purchasing and inventory live alongside your public site. The platform is the engine. Hivoltech handles setup — you get a branded site, live catalog, and Stripe ready to go.

  • Subscribe and provision https://{slug}.inveazy.com
  • Set My organization letterhead and Public site branding (landing, blog, shop)
  • Connect Stripe for payments and optional QuickBooks Online sync for accounting
  • Optional workspace AI keys under Integrations
  • Load products and vendors; practice PO → receive on the same catalog you will sell from

Walkthroughs: subscribe to first setup · company & public site · accounting & integrations · Features & pricing. Product deep dive: Brand, stock, and sell on day one.

Why the platform is required for the SCM offer: Fractional SCM only scales when brand, stock, and sales share one truth. We manage and automate on inveazy so we are not inventing a second spreadsheet catalog beside your website.

Lane 2 — Fractional SCM management (on inveazy)

Fractional supply chain management — also called outsourced purchasing, inventory management services, or virtual operations management — means a part-time supply-chain manager you retain, working in your hub, not in a private file dump.

  • Purchasing cadence — open POs, expedites, contract vs spot buys
  • Inventory hygiene — on-hand vs promised, slow movers, reorder points
  • Vendor management — late/short ships, price changes, backup sources for A-items
  • Receiving and match discipline — do not pay for what did not land (three-way match: PO vs. receipt vs. invoice — to prevent payment for undelivered goods)
  • Weekly ops scorecard review (15–30 min call) to review KPIs, exceptions, and next-week priorities — on-hand accuracy %, PO cycle time, stockout rate (SCM KPIs for small business)
  • Playbooks so your team can run the same rhythm in inveazy when we are offline

Lane 3 — Systems automation: APIs and data integrations that stick

Hivoltech systems work is integration and automation. We are not a design or branding agency. Build work here is systems around inveazy: data processes, APIs, backend apps, and integrations — into and out of the install and the tools you keep.

What we build What we don’t
REST/API connectors between inveazy, accounting, carriers, ecommerce, CRM Graphic design, logo packs, brochure marketing sites as the primary SOW
Scheduled jobs, import/export automation, validation and exception queues Pixel-perfect frontend campaigns
SQL-backed utilities and reporting extracts (including optional read-only SQL where licensed) “Make our homepage pretty” with no ops behind it
Industry customization of your inveazy install Generic WordPress theme shopping

Example 1: Shipments still get retyped into accounting. We build a job that reads posted ship/invoice data from inveazy, matches it downstream, and flags mismatches — so your team sees the exception, not the retyping.

Example 2: Sales promises stock the warehouse cannot see. We keep available quantity honest against open sales orders on the same catalog — shelf minus commitments.

Plain version: we automate the handoffs your people still do by hand — on a posted catalog and order trail. Related: one chain, not five apps.

Lane 4 — Custom data application development (standalone OK)

Not every project is “put us on inveazy.” Sometimes you need a purpose-built data application — an internal tool, intake form with workflow, reporting app, validation service, or backend process — and that work can be unrelated to inveazy.

  • Custom data apps and small business systems against your existing stack (accounting, ERP, CRM, carriers). We build the integration or reporting tool you need.
  • Backend services, APIs, and scheduled jobs that own a process end-to-end
  • Reporting / exception queues that replace a fragile spreadsheet ritual
  • Scoped builds with a clear handoff — docs, runbooks, who owns ops after go-live

Concrete examples:

  • Intake form + approval workflow that routes requests, captures attachments, and posts a clean record your team can audit
  • Sales or demand snapshot dashboard fed from the systems you already run — without another weekly spreadsheet rebuild
  • Vendor scorecard automation — on-time %, short-ship rate, price-change flags — so purchasing decisions use posted history

Same boundary as the rest of Hivoltech systems work: we build data and process applications, not graphic-design or brochure-marketing SOWs. If the app later should talk to an inveazy install, we can plan that join — it is not required to start. Lane 4 stays in this post because it is the same Hivoltech systems practice — just not tied to the inveazy SCM offer.

How to ask: Put custom data app in the subject if the primary need is a standalone build. Put fractional SCM if you want brand + ops on inveazy with management on top.

Geography: near West Linn, remote, and travel by agreement

Hivoltech is based in the Portland metro (West Linn, Oregon).

Remote rule: Remote SCM works only if access is real — inveazy logins, vendor contacts, weekly decision rights, and one internal owner who can unblock. We manage outcomes and systems. Your dock still needs people on the floor. Custom data app projects need the same clarity: data access, decision owner, acceptance criteria.

Where you are How we engage
Within about 50 miles of West Linn, OR Remote-first with optional on-site / hybrid for kickoffs, warehouse walkthroughs, and go-lives
Outside that radius Remote by default — video, shared screens, documented playbooks. On-site or travel is possible in certain circumstances (kickoff, go-live, critical warehouse review) when scoped and agreed up front — not assumed weekly

What a first month often looks like

  • Provision and brand — inveazy site live, letterhead and public branding set, Stripe connected. (Skip if this engagement is Lane 4 only.)
  • Access and map — vendors, warehouses, who decides; catalog started — or for a custom app, systems, data owners, and success criteria. (You cannot improve what you cannot see.)
  • Stabilize — open buys, stockouts, loudest fires on the new install — or first vertical slice of the custom app.
  • Rhythm — weekly scorecard from posted data, reorder rules, vendor follow-ups — or iterate on the app with acceptance checkpoints.
  • Automate or decide — one integration if in scope, handoff playbooks, or custom-app go-live + runbook.
Provision → brand → stabilize → rhythm → automate / decide
(or for Lane 4: scope → build → accept → handoff)

By week 4 on the SCM path: a branded site guests can trust, a weekly scorecard from posted documents, reorder rules that stick, and — if automation is in scope — one handoff that no longer needs a hero. On a custom-app path: a scoped build with acceptance criteria and a clear owner after handoff.

Questions we get

Do we have to use inveazy?

For fractional SCM with branded site and ops on one spine — yes. That is the operating system for Lanes 1–3. For Lane 4 custom data application development, no — that work can be unrelated to inveazy and scoped on its own. If you only want generic consulting on someone else’s stack with no build and no inveazy, say so — that is a different conversation.

Can you just be our full-time SCM manager?

Fractional first, on inveazy. If the workload is truly full-time and local, we can talk employment or a heavier retainer. Most companies need the function before they need the FTE.

We are nowhere near Oregon. Does remote still work?

Yes, if access and decision rights are real. Outside ~50 miles of West Linn, we default to remote. On-site visits are possible in certain circumstances when scoped — kickoff, go-live, or a critical warehouse review — not assumed every week.

Are you building our customer-facing website?

We configure your public face on inveazy (landing, blog, shop branding) as part of the platform. That is not a standalone marketing-design SOW with no ops. If a brochure site is the only need, we are the wrong door. Custom data apps are process / backend work — not a marketing homepage rebuild.

If you only need a pretty homepage, we are the wrong door. If you need brand and supply chain on one install — with someone to run it — or a custom data app that replaces a broken process — let’s talk.

What this keeps in place

inveazy as the required platform for the brand + fractional SCM offer. Hivoltech stands up branding and the ops install, then runs fractional SCM and systems automation on that workspace. Custom data application development is also on the table and can be scoped unrelated to inveazy. Remote-first beyond the Portland metro, with travel possible when agreed. Systems means APIs and data processes — not graphic design. Foot in the door for companies that lack know-how or headcount — without leaving them on five disagreeing files.

Brand on inveazy. Own the chain. Automate the joins. Or build the custom data app the process actually needs. Hire the function before the headcount.
